Today we will learn about the most basic step of MS-excel learning i.e How to insert a row in excel.

Suppose you are working on a large amount of data, you have created thousands of rows and suddenly you realized that there is some data that you have missed to insert.

Also, you cannot just insert it at the end as this data need to be sequential then excel’s this feature will help you to put your data into the right place.

We have the below data in which we are missing the data for serial number 5.

Let’s look into some of the following ways to insert a row in an excel sheet.

Note: Always remember that a new row will always be inserted above the selected row.

1. Insert a row in excel using Home tab in the ribbon

Step 1:

Select the row, above which you want to insert the new row.

Here that row is row 6.

Step 2:

Select the Home tab from the excel ribbon.

Step 3:

Under Home tab select the Insert dropdown and from the dropdown select Insert Sheet Rows.

Row Inserted

The new row will be inserted above the selected row like below.

2. By Right-Click and using excel context menu

Step 1:

Select the row, above which you want to insert the new row.

Again its row 6.

Step 2:

Right-Click on the select row.

Select Insert.

3. Shortcuts to insert a row in excel

If you like working on the keyboard and don’t want to use the mouse in between then the below steps are for you.

To insert a row, there are two approaches you can take with shortcut keys.

Approach 1: Selecting the entire row

Navigate to any cell of the row you want to select.

1. Click “Shift Space” to select the entire row

2. Click “Ctrl Shift +”

By using above two shortcuts you can insert a new row.

Approach 2: Selecting a cell

Step 1:

Navigate to any cell of the row you want to select.

Here we have selected cell with name “Ron”.

Step 2:

Click “Ctrl Shift +”

A pop-up window will appear on the screen.

Select Entire row using arrow keys.

Click “Enter”

Insert multiple rows in excel

Like we inserted single rows, we can also insert multiple rows using all the above methods.

All you need to do is

Select multiple rows.

Perform insert operation using any of the methods mentioned above.

For example:

Click “Ctrl Shift +”

You will see multiple rows inserted above your selected rows.

Conclusion

In conclusion, it depends on the person how he likes to interact with the computer. If a person is comfortable with Keyboard keys he can use the shortcuts or he can use the mouse that’s why I have mentioned all the above ways of row insertion.
